Stantec Consulting Services Inc. 3 of 16 <br />TO1 – Randolph-Sampson RTB PER <br />and surrounding areas will be eight (8) hours in duration. Up to six (6) STANTEC team members <br />will attend the meeting and field visit in person in the City of South Bend. Up to three (3) <br />additional STANTEC team members will attend the meeting via Microsoft Teams. Assume two <br />(2) hours are needed for each team member to prepare for the meeting and three (3) hours for <br />one (1) STANTEC staff member to prepare the meeting notes. <br />• Monthly Progress Meetings: STANTEC’s Project Manager (PM), Project Technical Leader (PTL), <br />and Project Director shall attend the monthly progress meetings in the City of South Bend. <br />When appropriate, other STANTEC and subconsultant staff members will attend the meeting <br />virtually via Microsoft Teams. Up to eight (8) monthly meetings will be conducted during the <br />PER phase to provide an update on project progress, discuss and resolve significant issues, <br />review and update the risk register, review the change log (if any), and identify action items. At <br />every other progress meeting, time will be dedicated to high-level review of the project and <br />discussion of value engineering opportunities. It is assumed each monthly progress meeting will <br />be three (3) hours in duration. Assume two (2) hours are needed for each team member to <br />prepare for the meeting and two (2) hours for one (1) STANTEC team member to prepare the <br />meeting notes. <br />• As-needed Teams Meetings: Additional virtual meetings may be necessary to discuss items that <br />need immediate attention by the CITY and the project team. For budgetary purposes, it is <br />assumed one (1) meeting will be conducted each month (total 8 meetings during the PER phase) <br />in addition to the monthly progress meetings. Up to five (5) STANTEC team will attend each <br />meeting. It is assumed each meeting will be two (2) hours in duration. Assume one (1) hour is <br />needed for each team member to prepare for the meeting and one (1) hour for one (1) staff <br />member to prepare the meeting notes. <br />• Design Team Inter-Discipline Coordination Meetings: The STANTEC team will conduct internal <br />inter-discipline coordination Teams meetings to discuss, review and coordinate technical issues <br />and action items. Group meetings will generally be conducted on a bi-weekly basis, but <br />additional meetings may be conducted as needed. For budgetary purposes, it is assumed that 20 <br />meetings will be conducted during the PER phase. The meetings will be attended by STANTEC <br />PM, DM, discipline leads. A total of up to eight (8) STANTEC team members will attend each <br />meeting. It is assumed each meeting will be one (1) hour in duration. <br />• Draft PER Review Workshop: Two (2) weeks after the draft PER is submitted to the CITY, a <br />workshop will be conducted to discuss CITY review comments. It is assumed the workshop will <br />be four (4) hours in duration. Up to four (4) STANTEC staff members will attend the meeting in <br />person in the City of South Bend. Up to eight (8) additional STANTEC team members will attend <br />the meeting via Microsoft Teams. Assume two (2) hours are needed for each team member to <br />prepare for the workshop and three (3) hours for one (1) STANTEC staff member to prepare the <br />workshop notes. <br />Subtask 1.3- Quality Management <br />STANTEC will perform quality assurance and quality control reviews of project deliverables. Discipline <br />lead reviews and an independent review will be completed for each deliverable prior to submission to <br />the CITY.
