j. Reproduction and distribution needs for associated documents such as: 1) Reference documents 2) Addenda 2. Invitations to Bid. Assist and advise Owner in placing the Invitation to Bid. Owner will distribute copies of the Bid Documents to prospective Bidders. Task 502 — Pre -Bid Meeting 1. Conduct, at a date and time selected and a place provided by Owner, a pre -bid conference to: a. Confirm the types of information required by the contract documents and the format in which bids should be presented. b. Review special project requirements and contract documents in general. c. Receive requests for interpretations that will be issued to plan holders. d. Prepare minutes of conference and issue to plan holders. 2. For the purposes of this scope and fee estimate, it is assumed one person will attend the pre -bid meeting. Task 503 — Interpretation of Bidding Documents (Assume up to 3 Addenda) 1. Assist Owner in addressing any questions from potential bidders regarding the contract documents. 2. Prepare and issue addenda to the construction contract documents when required. For the purposes of this scope and fee estimate, it is assumed there will be no more than 3 addenda. 3. Consult with and advise Owner to determine the acceptability of substitute materials and equipment proposed by Bidders when substitution prior to the award of contracts is allowed by the Contract Documents. Task 504 — Bid Opening For the purposes of this scope and fee estimate, it is assumed one person will attend the bid opening in person. 1. Assist Owner during bid opening. Answer questions, assist with preliminary tabulation of bids, and assist with review of questionnaires and bids for completeness.
