This familiarity will be valuable to the construction of Safe <br />Routes to School at Our Lady of Hungary because we can assist you with: <br />• Financial management of the project. <br />• Maintaining the construction schedule. <br />• Managing the coordination among contractors, <br />stakeholders, and designers. <br />• Coordination with INDOT (ensuring South Bend’s <br />interests are heard prior to INDOT authorizing <br />any change orders). <br />Our project team has led, managed, and/or inspected multiple projects in South Bend, and in the INDOT Laporte <br />District, and we can use this experience to provide a streamlined, efficient, and well-organized project. This <br />experience has led our staff to build excellent relationships with INDOT, local contractors, and utility companies. <br />TECHNICAL APPROACH <br />All of our construction inspection staff are trained to use a very deliberate and detailed approach to their work <br />in both the technical and communication aspects, including: <br />• Work with contractors and subcontractors firmly <br />while being mindful of what’s fair for everyone. <br />• Detailed inspection where new work fits into <br />existing features. <br />• Thorough knowledge and complete <br />understanding of the plans and specifications. <br />• Thinking about the long-term effects of our <br />decisions. <br />• Addressing issues quickly and concisely. <br />• Detailed project paperwork and records. <br />• Keeping up to date on the latest technologies <br />and all required certifications. <br />• Daily agreement on quantities with the contractor <br />• Completing and turning in final construction <br />records within 45 days of job acceptance. <br />DETAILED APPROACH <br />We have also developed an approach specifically tailored for this project that includes: <br />• Detailed preconstruction documentation of <br />existing conditions, including photographs. <br />• Constant communication with area residents <br />and businesses near the project site to resolve <br />concerns and/or issues quickly. <br />• Periodic stakeholder meetings throughout <br />construction to verify all current information <br />is available and questions/concerns are <br />addressed. <br />• Coordination and cooperation with local <br />elected officials, South Bend Community School <br />Corporation, and emergency service providers, <br />as well as the postal service and solid waste <br />removal companies. <br />• Review of maintenance-of-traffic and <br />construction plans to identify deficiencies and <br />minimize impact. <br />• Coordination with all community events in the <br />area. <br />• Taking the lead in any utility coordination efforts <br />to resolve utility conflicts quickly to keep the <br />project on schedule (knowing all the local utility <br />company contacts allows us to quickly respond <br />to any issues that arise). <br />• Reviewing erosion and sediment control <br />measures to verify all permits are being satisfied. <br />• Continued effective coordination with the design <br />engineering firm. <br />PROJECT UNDERSTANDING AND APPROACH EFFECTIVE COMMUNICATION <br />Our approach to effective project <br />communication includes: <br />Face-to-face <br />introduction at the <br />beginning of the <br />project <br />Returning messages <br />promptly <br />Availability to those <br />affected by the project <br />(cell phone, email, fax, <br />and the field office) <br />Explanation letters to <br />homeowners <br />Following through <br />and following up on <br />directions given and <br />received <br />Weekly project <br />forecasts with pictures <br />to all stakeholders
