Our process, in conjunction with regular <br />construction progress meetings, facilitates the thorough planning of construction phasing, verifies <br />that project plans and specifications are adhered to, discusses and mitigates the consequences of <br />unforeseen circumstances, and addresses any unresolved issues. Minutes will be taken for all meetings, <br />with action items and responsible parties identified. We will be vigilant in following up with all parties <br />so that action items are addressed in a timely manner and results are communicated to the owner. <br />Ultimately, our proven, well-established approach and diligent preparation efforts afford us the <br />opportunity to anticipate problems and be proactive to deliver positive results when dealing with the <br />inevitable challenges encountered on this type of project. <br />MAKING THIS A COMMUNITY PROJECT <br />A well-informed and engaged stakeholder is an asset and plays a key role in the overall success of <br />a project. An early action item for our team will be to develop direct lines of communication with all <br />stakeholders. Based on our previous knowledge and understanding concerning projects of this type, <br />we will accomplish this through: <br />• Personal introductions to adjacent property <br />owners. <br />• Weekly project activity reports. <br />• Progress meetings every two weeks. <br />• One-on-one meetings with interested parties <br />to review plans and project parameters. <br />• Open-door policy for our field office. <br />• Cell phone numbers on business cards. <br />• Meeting with community officials and <br />support agencies to garner buy-in. <br />• Presentations at community or public <br />meetings (as requested). <br />Keeping the community aware of vital construction activities that affect their day-to-day life is crucial. <br />Our project supervisor, Josh Reeves, will work with all team members to secure the best public image <br />of this project throughout construction. Our team has experience speaking directly with residents; <br />leading public meetings; and creating websites, flyers, mailings, and news releases that enhance public <br />awareness of projects like yours. Another way we’ve been able to gather community support is by <br />holding a “project introduction” cookout. This lets us interact with residents, directly yet informally, and <br />gives them a better understanding of the project and construction process. It also gives the community <br />a close-up view and more positive opinion of our team and the new roadway we’re providing. Such <br />cookouts have proven to be a strong first step toward helping any project run more smoothly. <br />Another effective tool for communicating with the public will be to hold a public information meeting/ <br />groundbreaking ceremony prior to the start of construction.
