CMc Proposal for City of South Bend — Four Winds Renovation and Expansion Project u 19 <br />• Identify the process for negotiating a final CMc contract with the City if selected, and the estimated time it will take to <br />develop and approve said contract. <br />Immediately upon selection or as requested, Hagerman can submit our contract agreement for review and finalization. <br />We typically see this process taking 30-45 days, but can work at whatever pace is needed to satisfy the project <br />requirements. We commonly proceed with preconstruction services during this period of contract finalization to assist <br />the project in meeting schedule milestones. <br />• Describe how your firm handles communication during the project and what your services will included regarding <br />community and media engagement, risk management, and technology. <br />We see communication happen in multiple forms. First and foremost, we see ourselves as an extension of the City of <br />South Bend. We will represent you at the project, our home office, and in the community exactly as you would expect <br />— respectfully and confidently. We become family for the next few years, and communication is key to any successful <br />relationship. We pride ourselves on over-communicating. It starts with the forming of an Executive Team that sets the <br />tone for communication, expectations, and accountability. Director of Business Development Tyler Nix will represent <br />Hagerman for this team. It is structured to have monthly meetings to provide a higher-level overview of the project’s <br />health and status. Senior Project Manager Ben Stuby is also involved in providing more detailed updates of current <br />events. Ben’s number one responsibility is to make sure all project participants are aware of “the plan” and update <br />accordingly as components of the plan may shift due to project demands or constraints. Ben will utilize one-on-one <br />communication with key participants, face-to-face meetings, Zoom meetings, phone calls, etc. In addition to our <br />one-on-one commitment to communication, Ben’s teams have several technology tools to aid communication. <br />Clear, concise, easily accessible information is key to any successful project. Hagerman will utilize the web-based <br />Procore project management platform (available to all project stakeholders), providing 24/7/365 access to up-to-date <br />project information for all interested and appropriate parties. This construction communication approach has been <br />successful for us and our clients. This allows each project’s design team and construction team members to <br />communicate regularly, in real-time, with all information accessible to the client. <br />In addition to Procore, Hagerman utilizes Asta Powerproject scheduling software to develop and manage the project <br />schedule which results in a detailed Critical Path Method (CPM) schedule tied to a master schedule integrating the <br />project priorities of the City of South Bend and the South Bend Cubs. We also utilize Building Information Modeling <br />(BIM) technology to enhance the communication and documentation of the project, as detailed previously. The Revit <br />platform will be the basis for our BIM work. <br />Hagerman uses Sage Estimating software, among other technologies, during preconstruction. The City of South Bend <br />representatives will be engaged from the outset, providing critical project input and timely decision making for the <br />preconstruction process to accomplish the goals described in this section.
