I At <br />Phase 2 - Core System Design and Configuration <br />Using the "road map" (technical memorandum and business process documentation) developed in Phase 1 as <br />our guide, the Woolpert implementation team will lead the Client's project team through the permitting <br />software configuration tasks. The result of Phase 2 activities is a fully configured licensing solution — deployed to <br />the Client's development environment — that is ready to undergo User Acceptance Testing. <br />Woolpert will initiate the configuration activities by developing a set of configuration documents. These will be <br />reviewed by the Client's technical team for the purpose of gaining a level of familiarity with the various aspects <br />of the system components that will need to be configured. <br />Woolpert will then facilitate a series of implementation training courses whereby we will introduce, in greater <br />detail, the PLL software solution to the Client's core team members. These will be the division managers, <br />supervisors, and inspectors that will be expected to provide detailed and direct input into how the solution is <br />designed and configured. This training will prepare these team members to proactively participate in the <br />configuration workshops and make informed decisions as to how their system gets deployed. <br />Following the configuration training, Woolpert's implementation team will facilitate a series of on -site configuration workshops, <br />whereby the PILL software solution will be iteratively configured and loaded with the data required to support the Client's licensing <br />workflows and support the defined reporting requirements. <br />Once all configuration activities have been completed, Woolpert will facilitate a series of on -site system demonstrations. These <br />demonstrations will "walk" the system through each configured licensing workflow to provide the Client's technical team with an <br />opportunity to comment upon and request modifications to the configuration. After Woolpert updates the configuration (and <br />related documentation) per the demonstration feedback, the system will be ready for User Acceptance Testing (pending completion <br />and acceptance of Phase 3 deliverables). <br />Task 2.1: Prepare Configuration Documentation <br />Woolpert will compile the licensing program data gathered and documented through the multiple on -site workshops and other <br />related project meetings completed to -date (pre -planning discovery) and distill this information into a series of organized <br />configuration documents. This configuration documentation, consisting of standard PLL system elements, as well as the customized <br />details required to support the Client's specific licensing program, will be used to guide the configuration of the system so that it <br />directly responds to the Client's specific management requirements. <br />Related sub -tasks are as follows; <br />Task 2.1: Prepare Configuration Documentation for Cityworks PILL Solutions <br />Sub -Task 2.1.1: Woolpert to Prepare Draft PLL Configuration Documentation <br />Sub -Task 2.1.2: Woolpert to Submit to Client PM for Review <br />Sub -Task 2.1.3: Woolpert to Facilitate Remote Review Meeting with the PLL Client Implementation Team <br />Woolpert Deliverables <br />• Woolpert Lead Systems Analyst will develop a set of configuration documents in MS Word format <br />• Woolpert Lead Systems Analyst will facilitate a remote review meeting up to two (2) hours in duration with the Client's core <br />team <br />Assumptions <br />• All above listed tasks will be performed remotely <br />Client Responsibilities <br />SOUTH BEND, IN - BUSINESS LICENSING, PLL IMPLEMENTATION SERVICES I SCOPE OF WORK 21 <br />
