A1.18 Question: Section V, Scope of Workpage 2 of 5 item 3, requests that vendor take the <br />lead on the data conversion process. Will any City resources he available to assist with <br />the data clean up and testing? <br />Answer: Yes, the City expects to assist the vendor on these activities. Vendors to <br />indicate the expected level of effort for City staff, as requested in the RFP Proposal <br />Form F. <br />Al. 19 Question: Section V, Scope of Work page 2 of 5 item 3, mentions that six years' worth of <br />Memos, Notes, and Contact Records are to be converted. What formats and system are <br />they currently in? What is the overall database storage size in the current data <br />repository? <br />Answer: All Memos, Notes, and Contact data required to be converted is stored in the <br />Legacy NaviLine system. Memos and notes are free form text in a comments field and <br />contact records are in their own separate table with their own specific schema. These are <br />all currently stored on an IBM DB2 v7r2. We estimate that contact records amount to <br />—129 MB, and notes of service orders (for all City departments, not just our Utility) <br />amount to —50 MB. <br />A1.20 Question: Section V, Scope of Work page 3 of 5 item 3, mentions that six years' worth of <br />documents and attachments are to be converted. What formats and system are the <br />documents and attachments currently in? What is the overall database storage size is <br />the current data repository? <br />Answer: Attachments amount to —1.41 GB, and are composed of PDFs, Word <br />documents, and pictures. Attachments are currently stored in a network file server and <br />accessed via NaviLine. <br />A 1.21 Question: Section VL "Proposal Submission Requirements "- Page 4 of 6, item 7 states <br />"Proposal Form D is provided as an Excel file with this RFP, Vendor must complete <br />and return this Excel file, and must also include a printed copy of their responses as <br />part of this section. " Will the printed version of Form D count towards the 80 page <br />limit? <br />Answer: Yes - as stated in the RFP Section VI, Bullet A., second paragraph: Proposals <br />shall be limited to 80 sides of a page, total inclusive of all forms and any supplemental <br />information, optional items, and appendices. Terms and Conditions, detailed staff <br />resumes, and the Attachment 3 Affidavit are excluded from the total sides of a page <br />count limitation. Proposals in excess of the sides of a page limitation may be eliminated <br />from consideration. <br />A1.22 Questions: Section VI.
