REGULAR MEETING MAY 16, 1977 Mr. McMahon then submitted the following correspondence from Irwin Seating Company and from American Seating. "Mr. Patrick McMahon, President April 29, 1977 Board of Public Works Dear Mr. McMahon: This letter will confirm our phone conversation this date. Your interpretation that our base bid of $77,770 was based on a total of 950 chairs was correct. We erroneously added the 68 seats floor r..lounted in the back row to the 670 permanently attached seats in Section 1 under the requirements for chairs in the theatre - actually, the 68 chairs should have been included in the quantity of 670. Thus, our bid should have been based on a total quantity of 882 chairs. Dividing our total base bid by the quantity bid (950 quantity) results in a unit price of $81.86 per chair. Your interpreta- tion that the unit price extended over the correct quantity of 882 chairs would give us our actual corrected bid -- is .correct. Thus, our bid, based on 882 total quantity would correct to $72,200.52. Under Alternate 1, where we proposed to furnish polyurethane cushions treated to meet the California Code, we would offer a deduct for the.882 quantity chairs a total of $17,243.10, resulting in a price for Alternate 1 at lump sum of $54,957.42. Alternate 2 for furnishing Chatham 17000 fabric in lieu of the Girmes fabric, we would deduct $7,276.50, resulting in a total net price under Alternate 2 of $64,924.02. Alternate 3 - a combination of the two above, would result in a net deduct of $24,519.60 -- arriving at a total lump sum bid of $47,680.92. I am pleased again to include two specific installation photos - the Ford Auditorium in Detroit, Michigan and the Market Square Arena in Indianapolis. May 12, 1977 President, Board of Public Works Dear Mr. McMahon: I have been bothered ever since the bid opening by the fact that we bid on the wrong quantity of chairs. The people that prepared this bid for my submission totaled the chairs on page 1275-2 of the specifications and came up with a total of 950 chairs. It did not occur to me to state the quantity of chairs in my bid since it was our intent to bid exactly as called for on the base bid. The fact of the matter is that we did bid on 950 chairs rather than on the correct number, which would be 882 chairs. m
