Project Management <br />Approach <br />Engineering Design and Integration Review <br />The Project Manager will lead weekly review meetings to determine the design effort <br />status, resolve issues and plan theweek.An information needs listwill be published with <br />the meeting minutes promptly to be used as a tool for obtaining critical information. <br />The meeting minutes will document decisions and the status of each subsystem <br />component. <br />Progress Reviews <br />While theweeklydesign and integration review meeting will trackworkon a subsystem <br />basis, an overall project review meeting will be held at least once a month to determine <br />status of project issues such as the schedule, cost report, value added log, etc. The <br />account manager, project manager, along with any stakeholder is welcome to join this <br />meeting. <br />Standard Documentation Software <br />All documentation will be made using the city's standards for software such as Microsoft <br />Word, Excel, Access, PowerPoint, ETC. Drawings will be developed in the latest version <br />of AutoCAD. <br />This documentation will be stored for cloud -based access via Procore. <br />Document Control <br />JMS will be responsible for project document control. As stated before, Procore will <br />be used to manage these documents insuring that only the latest, approved version <br />or revision is used for construction. Previous versions of all documents will also be <br />available for reference. A clear picture of revisions and changes is incorporated into <br />Procore to allow review of each documents' history. <br />Progress Reporting <br />Weekly progress reports will be issued after each Integration and Design Review <br />meeting to inform project personnel and management of progress. These reports will <br />document decisions and communicate unresolved issues. A monthly report will be <br />issued after monthly progress reviews to determine status of the project as a whole. <br />Commissioning <br />The purpose of commissioning is to outline a formal program to ensure that the <br />performance evaluation factors are properly implemented, measured and met in <br />accordancewith the performance contract requirements. Each retrofitwill bevalidated <br />by a qualified technical representative and be in accordance with the sequence of <br />operations and contract requirements. <br />
