Page 6 <br />Take cross sections at specified intervals across the right-of-way of public roadways and or the project <br />limits (as described above) whichever is further out. Additional cross sections shall be taken at <br />intersection of streets, roads, railroads, driveways, etc. Obtain elevations of all existing structures such <br />as drainage culverts, utilities and other structures. <br /> <br />Indicate spot elevations at all, break in grade, ramps, area ways, tree grates, etc. within the project <br />limits, and at top and bottom of curb. <br /> <br />Provide a listing of all symbols, notations and legends used in the field survey. VS shall furnish a hard <br />copy together with all field survey information collected on electronic media. VS shall also prepare <br />master drawings (1-foot contours) from data collected in topographic survey using AutoCAD Civil 3D and <br />shall submit a hard copy together with electronic format. VS shall delineate and label the location of all <br />buildings, structures, fences, railings, signs, walls, walks, paved areas, curbs and other permanent <br />structures and existing improvements. VS shall outline all building edges, insets and projections, and <br />below grade structures such as vaults, basements, and areaways where applicable, as evidenced by <br />facilities at the ground surface and marks by others. <br /> <br />DESIGN <br /> <br />Project Management and Coordination: Provide overall direct project coordination with stakeholders for <br />the design, bidding, and construction of the project. <br /> <br />Project Management Control Schedule and Budget: VS shall document any scope changes affecting <br />baseline budget or schedule. Discuss and receive written approval of any scope changes prior to <br />implementing. <br /> <br />Monthly Invoicing and Progress Reports: VS shall submit project manager monthly invoices accompanied <br />by written monthly progress reports. At a minimum for each task, the work completed during the past <br />month and work anticipated during the next month by VS shall be reported along with hours and direct <br />costs expended on unit price, unit labor rate work tasks, and the percent complete on lump sum work <br />tasks, and project costs and updates to the schedule. VS shall also identify items requiring decisions or <br />input. All work outside the contracted Scope of Services, which must be authorized in writing, shall be <br />identified separately along with the invoice amount for the extra work. If no extra work was performed <br />for the month, VS shall note in the monthly progress report. Invoicing shall indicate the project number, <br />purchase order number, total contract amount, amount completed, amount previously invoiced, and <br />current invoice amount. <br /> <br />Project Meetings: VS shall conduct project meetings, as needed. For budgetary purposes, a total of 1 <br />project meetings during design and construction are budgeted. <br /> <br />Meeting Minutes: VS shall prepare and issue meeting minutes, and shall distribute the minutes within <br />seven calendar days of the meeting. VS shall make meeting minutes corrections identified by <br />participants and distribute revised meeting minutes, if required. If comments are not provided on draft <br />meeting minutes within five business days, VS shall issue and distribute final meeting minutes. <br /> <br />Project Quality Control: The responsibilities of VS include Quality Control (QC) of project deliverables. VS <br />shall review project deliverables prior to submittal, internally document comments and resolution, and <br />assist in project quality assurance.
