DES: 2100022 | City of South Bend - LaPorte District - PE/RW Services for Bendix Drive | 5 <br />PROJECT APPROACH <br />PROJECT MANAGEMENT <br />MAXIMIZE AVAILABLE TIME, MINIMIZE RISK <br />The Kapur project management approach includes a risk <br />management component in addition to an intense focus on <br />the scope, schedule, and budget. Common risks are those <br />involving external entities unmotivated by the goals of the <br />project. Our common-sense approach is to start early, allow <br />adequate time, respect the processes of other agencies, and <br />provide for contingencies in both schedule and budget. <br />COMMUNICATION <br />OPEN COMMUNICATION IS KEY <br />An important aspect of the Kapur project approach is a <br />detailed communication plan developed to meet the needs <br />of the project and the City of South Bend. The project <br />communication plan will clearly define parameters for <br />interactions with the City and INDOT using a broad range <br />of tools including telephone, hard copy and electronic <br />correspondence, standardized reports, project websites, <br />virtual or in-person meetings, or other methods and processes <br />as needed. Communication is the cornerstone of a successful <br />relationship and Kapur incorporates this integral component <br />of the process throughout the project. <br />Once the project commences, weekly updates will be provided <br />to the project team. At critical review times, we will schedule <br />meetings to review plans and receive input from the team <br />before making final decisions. We will also review the schedule <br />that was agreed upon at the project scoping meeting regularly <br />to ensure we reach milestones. <br />Kapur will immediately bring any unforeseen conditions or <br />changes, or suggested modifications, to the City’s and INDOT’s <br />attention and resolve these issues quickly. <br />We will use available resources, such as the INDOT Highway <br />Design & Technical Support division, for answers to questions <br />or for guidance if the unexpected arises. <br />DAILY UPDATES <br />Daily updates will be shared between the design <br />team and any subcontractors to make sure <br />everything is running smoothly. <br />WEEKLY UPDATES <br />Team leads will meet on a weekly basis to make <br />sure day-to-day activities are adhering to <br />schedule and discuss anything that needs to be <br />brought up with South Bend and INDOT staff. <br />SINGLE COMMUNICATION CHANNEL FOR <br />EFFECTIVE COMMUNICATION <br />As Project Manager, Shakeel will be the single <br />point of contact for South Bend as well as team <br />members and any subcontractors. Having one <br />point of contact everyone can go to will create <br />effective communication. <br />KICKOFF MEETING <br />Once we receive Notice to Proceed, we set <br />wheels in motion for developing a successful <br />partnership. One of the most important <br />meetings is a kickoff meeting which includes <br />key team members, contractors, and project <br />managers from Kapur, INDOT, and South Bend. <br />OPEN COMMUNICATION IS KEY
