Mary Jane Chase: And when we get our final list, I think that an invitation from the office or <br />from yourself would be most appropriate. <br />Lynn Patrick: I think that would be very appropriate. <br />Mary Jane Chase: It should be a formal invitation. <br />Lynn Patrick. Although I don't think that it would be bad to make a phone call and see if they re <br />interested before we do a formal invite. That's kind of paving the way before the formal <br />invitation, I think that would be appropriate to determine if there's a level of interest- some <br />people are going to tell you right off, my dad's sick can't do anything right now or whatever. <br />That's how I'd like to conduct.... <br />Shawn Peterson: Remember, you can't appoint then until you have approved as much at a public <br />meeting. <br />Lynn Patrick: We don't have any conversations without bringing you in on it, Shawn. (laughter) <br />Shawn Peterson: That is what I wanted to here. <br />Lynn Patrick: I haven't even talked to her in probably like two weeks. Yeah. Ok, that's good. <br />Amy, was what just transpired clear enough for your notes? <br />Amy Herdman: Yes, ma'am. <br />Lynn Patrick: Ok, because I'll be looking at those notes to make sure what I said... <br />Amy Herdman: You can listen to them as well. <br />Lynn Patrick, I'm not sure that I want to go there. Also regarding advisory committees no not <br />advisory committes, our standing committees... I spoke with Linda Riley a few moments before <br />the meeting and I would like to appoint her to serve in the capacity of Diane on the three <br />committees that she served on, to serve out Diane's term of office. Because as it stands right <br />now, on the Budget and Finance Committee we have Tim and Diane. I'd like that to be Tim and <br />Linda Riley, and currently on the Landmarks committee we have Todd Zeiger, chair, and Diane. <br />I'd like Linda to fill that spot so we'd at least have two people on the committee. And lastly, <br />fagade easements, um, we have Joann Sporleder, chair, John Oxian and Diane. I'd like to add <br />Linda to that as well. Also regarding our committees I asked about people having a meeting, and <br />we haven't been putting enough into the committees lately but also I think that its important that <br />we keep these going because these will be the basis for the advisory committees of the future. I've <br />suggested this before, and we've kind of been lax about this, but I'd like to bring it forth to people <br />again, even if its on the phone in which case we could advertise a date in time, oh which we <br />couldn't do over the phone, we'd have to meet at the office, ok..a brief meeting at the office. I'd <br />like these committees to just meet even if its briefly, because they haven't met in awhile. <br />Shawn Peterson: I would suggest that if you set a particular time then you could notice those <br />meetings and cancel them if you do not need them. <br />Lynn Patrick: Yes <br />Shawn Peterson: If you set regular committee meetings you need only provide the notice once a <br />year, unless the times or locations change. <br />Lynn Patrick: mm -hmm.. I'd like to move in that kind of direction because I think that we're not <br />meeting regularly enough. And again, I want to prepare the ground so when we have our <br />advisory committee we create a structure in which they can bring their ideas and <br />accomplishments and assignments to us before the meeting. <br />Mary Jane Chase: Maybe like a half hour before this meeting.... <br />Lynn Patrick: Mmm -hmm <br />Linda Riley: I have a question for Shawn. If it's a working meeting, why does that have to be <br />open to the public? <br />Shawn Peterson: The Open Door Law provides that even meetings in which you only deliberate <br />or discuss an item must be duly noticed and open to the public. <br />Todd Zeiger: Can I offer an observation about an issue if we met just before this meeting there <br />really isn't any time to do anything. Meeting as a committee directly before this really means that <br />nothing is going to really happen til the next month. 1 would just offer that as an observation, if <br />we're trying to get things moved through the Commission the committee would need to have their <br />meeting say two weeks before the Commission meeting or something like that.
