• Woolpert Data Migration Specialist will produce a DRAFT Conversion Plan Document in MS Word format and submit to the Client Project Manager • Woolpert Data Migration Specialist will facilitate a remote review of the Conversion Plan Document for up to two (2) hours in duration • Woolpert Data Migration Specialist will produce the FINAL Conversion Plan Document in MS Word format and submit to the Client Project Manager • Woolpert Data Migration Specialist will conduct a pilot data migration in to the Client's development environment • Woolpert Data Migration Specialist will conduct a final data migration in to the Client's production environment Assumptions • Any necessary Cityworks configuration to support the data conversion will be coordinated with and performed during the system design and configuration tasks. • All data to be converted will be provided to Woolpert in an appropriate digital format, utilizing the staging table template specified in the Conversion Plan Document • All data scrubbing and prep work specified by the Conversion Plan will be performed by the Client • All data will have appropriate primary and foreign key relationships. • Woolpert will provide an initial suggested mapping between old data types from the NaviLine system to the new data types within Cityworks PLL. The City will review, verify, and fill in any missing mappings. • Woolpert will update the data conversion document to include the data types and lengths for the corresponding fields within Cityworks PLL. • Only two iterations of data migration will be performed. If datasets are not scrubbed per the migration specifications, and require additional iterations a Change Control Notice will be required • Conversion Plan Document will contain the following sections: o Overview o Data Conversion Procedures o Data Conversion Assumptions o NaviLine to Cityworks PLL o Data Conversion Field Mapping o Action Items o Conclusion Woolpert will only migrate data into the following PLL tables: ca_object (transaction case main), ca_people (transaction people), and ca_payment (transaction payments) All Phase 3 tasks will be completed on a time and materials basis Woolpert will make best efforts to complete development, testing and deployment of data migration within the time and fee allocated to this task. If it is determined that additional time is required a Change Control Notice may be required. Client Responsibilities • Client Project Manager shall be responsible for all legacy dataset revisions and clean-up based on specifications in the Conversion Plan Document • Client Project Manager shall provide Woolpert with clean datasets formatted as specified in the Conversion Plan Document • Client Project Manager shall be responsible for additional dataset revisions based on the Pilot Data Migration • Client Project Manager is responsible for obtaining feedback required to appropriately prioritize data for migration (prioritization is critical in resolving issues such as data type and/or character constraints) Task 3.2: Develop Custom Reports Woolpert will establish an initial list of custom reports using the requirements documentation and data delivered by the client. Woolpert will validate this list during Task 1.1: Conduct Pre -Planning Discovery. Any additional reports determined to be required during Phase 2 will be added to this list. Following mutual acceptance of the reports list, the Client Project Manager will perform an internal review and prioritization exercise with Core Team members.
