Road Reconstruction of Olive Street FROM PRAIRIE AVENUE TO TUCKER DRIVE COMMUNICATION PLAN UNITED understands that while performing construction inspection services for the Olive Street Corridor project, our client is you, the city of South Bend. As the onsite representative for the City, it is our responsibility to ensure the project is built to your intended vision while safeguarding the budget and public perception. One of the keys to success is how the public perceives a project. Success is not only measured in how the project looks and functions after it is completed, but how the project was handled during the entire construction process. Our assigned project manager, Bret Smiley, and his past experience of working around projects surrounded by both business and residential areas will enable our team to anticipate potential problems before they arise and offer viable solutions to address any issues before they can escalate. UNITED will continue the excellent quality of communication that our clients have come to expect. In order to accomplish our goal, we will execute the following communication plan. UNITED will offer to hold an open meeting in a facility in the vicinity of the project immediately after the successful bidding of the project. The agenda for the meeting will include the following: W ➢ Identify the expected schedule of activities and when they will likely begin. ➢ Provide an overall concept of how the construction process will proceed. ➢ Introduce the project manager (Bret Smiley) to the businesses, residents, and school representatives and provide direct lines of communications to contact him with questions. ➢ Answer public questions. Bret Smiley will personally make contact with neighboring property owners and businesses that might be impacted by the project or construction traffic. Bret will communicate the construction schedule with the property representatives and send monthly updates showing project progress and any changes. Our team will make sure the contractor is aware of any streets that are restricted to oversized loads/weight limits in the area and any other nearby streets. A few critical areas of communication include: ➢ New Life Ministry ➢ Residential Properties ry ➢ Belle Way Service ➢ SR 23 Intersection ➢ Warehousing and Logistics Property Bret will conduct weekly progress meetings at the construction field office and will make meeting minutes available to interested parties. During each meeting, Bret will update everyone on work completed to date and discuss the upcoming schedule. Any impacted utilities will also be asked to attend until their work is complete or no longer in conflict. UNITED will maintain continuous communication with Alicia Czarnecki through meetings, phone calls, and emails. The purpose of this communication is to ensure we clearly understand and execute your expectations.
