I., <br />Our team will conduct regularly scheduled meetings with the City of South Bend to obtain your input, address any <br />concerns, and identify potential project roadblocks. Our process, in conjunction with regular construction progress <br />meetings, facilitates the thorough planning of construction phasing, verifies that project plans and specifications are <br />adhered to, discusses and mitigates the consequences of unforeseen circumstances, and addresses any unresolved <br />issues. Minutes will be taken for all meetings, with action items and responsible parties identified. We will be vigilant <br />in following up with all parties so that action items are addressed in a timely manner and results are communicated <br />to the owner. Ultimately, our proven, well -established approach and diligent preparation efforts afford us the oppor- <br />tunity to anticipate problems and be proactive to deliver positive results when dealing with the inevitable challenges <br />encountered on this type of project. <br />M A II I I[ N G IF IV4 i S A, 0 VN4 @110 lU, IN II `111f' ''Y P II zP 0, 11 IF C 't <br />A well-informed and engaged stakeholder is an asset and plays a key role in the overall success of a project. An early <br />action item for our team will be to develop direct lines of communication with all stakeholders. Based on our previous <br />knowledge and understanding concerning projects of this type, we will accomplish this through: <br />• Personal introductions to adjacent property owners Cell phone numbers on business cards <br />Weekly project activity reports Meeting with community officials and support <br />• Progress meetings every two weeks agencies to garner buy -in <br />• One-on-one meetings with interested parties to Presentations at community or public meetings <br />review plans and project parameters (as requested) <br />• Open-door policy for our field office <br />Keeping the community aware of vital construction activities that affect their day-to-day life is crucial. Our PM/PE/RPR, <br />Scott Randle, will work with all team members to secure the best public image of this project throughout construction. <br />Our team has experience speaking directly with residents, as well as leading public meetings and creating websites, <br />flyers, mailings, and news releases that enhance public awareness of projects like yours. Another way we've been able <br />to gather community support is by holding a "project introduction" cookout. This lets us interact with residents, directly <br />yet informally, and give them a better understanding of the project and construction process. It also gives the commu- <br />nity a close-up view and more positive opinion of our team and the new roadway we're providing. Such cookouts have <br />proven to be a strong first step toward helping any project run more smoothly. <br />To see an example of our commitment to public awareness and efforts to keep the public informed of project <br />conditions, updates, O&A sessions, and other general information, you can visit the website we developed for the <br />Town of Rockville at www.howardandmarket.com. <br />Another effective tool for communicating with the public will be to hold a public information meeting/groundbreaking <br />ceremony prior to the start of construction. This can be accomplished on site and allows the residents in the area to <br />view the construction plans and meet and obtain contact numbers for the project team. <br />
