Provide input in the development of the project plan, as well as other required <br />information, <br />• Keep abreast of developments at each stage of the planning process, <br />• Make decisions about the direction or organization of the IT function. <br />Information such as project team organization, project goal, objectives, expectations and <br />scheduling is discussed and agreed upon during implementation planning meetings. The project <br />team will also provide problem tracking and scheduled meetings throughout the duration of the <br />project to ensure any new issues are promptly identified and appropriate solutions applied. <br />The project is evaluated throughout its lifecycle and status reports are provided to the client <br />management team on a routine basis. The reporting period begins with the award of contract <br />and continues to final system acceptance. <br />TRAINING <br />Cogsdale's team will provide all training and process documentation. The training phase is an <br />opportunity to get everyone committed to accomplishing the project's goals. As such, training <br />objectives are designed to bring the organization together with a focus on efficient workflow to <br />meet the needs of internal and external customers; providing staff with the skills and confidence <br />to do their job and build in-house expertise. <br />Each training agenda reflects the learning objectives and are presented in three stages: <br />Comprehensive Overview — how information flows through Cogsdale, ensures staff <br />has an understanding of how processing in real-time, based on workflow, impacts <br />existing processes. The people involved in this stage have decision making authority <br />and are leaders on the team. <br />Train Key Users — this group becomes internal subject matter experts, involved in <br />overview training and system setup. Key users gain an understanding of workflow, <br />develop functional area expertise and contribute to the workflow process discussions. <br />They will be involved during set-up, training and testing and act an internal support <br />during and after implementation, eventually becoming internal training resources. This <br />group must be willing and able to learn, have functional knowledge of the organization's <br />processes, a positive attitude and be able to communicate effectively with their peers. <br />Train End Users — provide end users with the knowledge and skills required to process <br />daily workflow to assist the organization in meeting objective. This group of participants <br />will see how work flows and understand how their contributions fit in the overall process <br />flow. They will get hands-on training and will demonstrate their ability and understanding <br />required to process their daily workflow. <br />DATA CONVERSION <br />Data conversion is a key element of any software implementation. It is imperative that all data <br />be reviewed prior to data conversion. Completing the data conversion plan effectively requires <br />that the client, as well as Cogsdale, know the results expected from the new system. <br />Cogsdale follows a collaborative approach to data conversion with responsibilities divided <br />between Cogsdale and client staff. As the client is familiar with the legacy system and data, they <br />will be responsible to extract and prepare the data as well as documenting any source data <br />
