HomeMy WebLinkAbout03-27-24 Special Events Committee Minutes SPECIAL EVENTS COMMITTEE MEETING MINUTES March 27, 2024, 1:00 PM 731 S. Lafayette Blvd, South Bend, IN 46601 Members present: Amy Roush, Brad Rohrscheib, Kyle Ludlow (Teams), Darwin Shipley. 1. Call to Order The meeting was called to order at 1:02 PM by Ms. Roush. 2. Approval of minutes Upon a motion by Ms. Roush and seconded by Mr. Rohrscheib, the minutes from the previous meeting held on March 13, 2024 were approved unanimously. 3. Approval of Special Event Permits 3a. Color Run 2024-June 15 2024 Sarah VanSickle joined the meeting as a representative for the Salvation Army Kroc Center. Ms VanSickle told the committee members that this year’s Color Run 5K will offer participants the choice of completing the 5K course or opting for the 1-mile Family Fun Walk. In addition, the Kroc Fest is scheduled to run concurrently with the Color Run. The route for the Color Run 5K will travel along Western to Martin Luther King, then proceed along the River Walk, across the pedestrian bridge at Howard Park, to the boathouse at Notre Dame. Participants will turn around at the boathouse and return along the same path to complete the 5K. Street crossings from sidewalk to sidewalk will be at the intersections of Western at Scott, William, Taylor, Lafayette, South Main and South Michigan. Officers from SBPD will on hand to assist at the intersections. The committee representative from Engineering mentioned routing the participants thru the old Press Gainey parking lot and past the Post Office should heavy traffic develop Page | 2 along the route. Ms VanSickle told the committee that she would measure the area and submit an updated map should they decide to use the amended route. The event is anticipated to begin at 9:30 am. Color stations will be situated every two to four blocks. The event is expected to draw 500-600 participants. Volunteers will be on hand to assist participants and clean the area after the conclusion of the event. Ms Roush asked Ms VanSickle to submit a park use application to VPA since a park space will be utilized for the event. The committee members had no further comments or concerns. Upon a motion by Ms. Roush and seconded by Mr. Rohrscheib, the permit for Color Run 2024 was approved unanimously. 3b. Angel of Hope Ride-August 17 2024 The committee members reviewed the application, as the applicant didn’t attend the meeting. The Angel of Hope Ride is an annual memorial ride sponsored by The Pack of Michiana to benefit the Angel of Hope Memorial Garden. The motorcycle riders depart from Pinhook Park after a brief ceremony at the Angel of Hope Garden. From there, the riders travel a route thru St Joseph County. The ride is followed by a benefit with live music and food at the Chain-of-Lakes Conservation Club. All proceeds are donated to the Angel of Hope Memorial Garden. An awareness vendor fair organized by minority truck drivers is also scheduled for August 17th but, it doesn’t pose a conflict with the motorcycle ride’s departure from Pinhook Park. The committee had no concerns regarding the historically important event. Upon a motion by Ms. Roush and seconded by Mr. Ludlow, the permit for Angel of Hope Ride was approved unanimously. 4. Other Business 4a. Vote on final route for Sunburst Races 2024 to be scheduled for next meeting. 5. Privilege of the Floor None 6.
