HomeMy WebLinkAbout10-20-04 Information & Technology Committee Report of the Information and Technology Committee South Bend Common Council The October 20, 2004 meeting of the Information and Technology Committee was called to order by its Chairperson, Dr. David Varner at 3:32 pm in the Council Information Meeting Room. Persons in attendance included Council Members Kelly, Varner, and Kuspa; City Clerk John Voorde, City Controller Frederick B. 011ett, III, Director of Information Technologies Bob Allen,PC Specialist Brent Cummins, and Kathleen Cekanski-Farrand,Council Attorney. Dr. Varner noted that the meeting was called to receive an update from the Administration on the Council's website. He noted that information from other Council websites had been given to the Council. The Council should also have receive two (2) documents via email namely the "Original Site Map as Prepared by Crowe" and the "Revised Site Map as Prepared by Crowe"(copies attached). PC Specialist Brent Cummins provided a three-page handout (copy attached) which showed the homepage of the proposed city website, the Council's revised page and the City Clerk's revised page. Bob Allen stated that the Council is now"right up front" on the homepage, as requested by the Council. He noted in response to a question from Dr. Varner that the city is using a custom template. They plan to meet with Crowe next Wednesday and will have wire frames by Friday. He added that there will be a degree of commonality for all city sites including a color theme. City Clerk John Voorde noted that the Ordinance Violations Bureau should be a box next to the Clerk with parking tickets and ordinance violations being listed below it. The Council Attorney suggested that other Council webpages include a box for Council Rules and Procedures, Council Committees, and the City Code. In response to a question from Dr. Varner, Brent Cummins noted that the "Department Spot Light"would rotate various departments. Dr. Varner suggested that mock pages be reviewed by the Council before the Council's website becomes operational. Rick 011ett stated that the mock pages will be discussed next week and will be a work in progress,noting that some key parameters will be used. Bob Allen stated that websites will be monitored to see how many hits are received. Information and Technology Meeting of October 20,2004 Page 1 In response to a question from Dr. Varner, Mr. Allen stated that the timeline is still to have the website ready by the end of the year. He stated that it would be managed in house. Mr. 011ett stated that the infrastructure would be managed by IT since they already have the hardware. Mr. Allen noted that the server is large enough for the capability needed, noting that it can handle 20,000 sessions a day. In response to a request by Dr. Varner, Mr. 011ett stated that there would be a test run before the Council's website goes operational.
