At its April 13, 2021 meeting, the Board of Public Works approved the above referenced
Change Order for an increase of an additional forty-two (42) days, bringing the revised contract
completion date to June 11, 2021.

Yes, we will shift the full mobilization to May 12th knowing that your team is still aiming to be on site
this week to talk with vendors and get eye on the electrical components. With this shift, I would
propose a new final completion date of Friday, June 11. Let me know if that is realistic for you and
your team so then we can have @Gregory McGowan start putting together the paperwork for us.

I’ve spoken to Marty over at TPC and he’s trying to find a solution for us but we have had zero luck in
sourcing the chain motors in less than 45 days.
At this point, I think we should plan for the worst and move the project start date to May 12th. If we
are able to get them sooner, we will begin ASAP.
I’m planning on sending Cosmo to South Bend next week to meet with vendors, work on sorting out
the power requirements, etc.
I realize that this is not optimal for any of us but it’s the reality we face. ☹
Please let me if this is acceptable to you and we will move our schedule accordingly.

We are scheduled to arrive in South Bend on Wednesday 3/31
Purchasing is 95% complete but we have run into a couple of major issues that could affect our time
table.
1. Power for Chain Hoists – In the Addendum, we asked if we needed electrical and the answer
was no. During our pre-arrival prep, we have learned that there is no power in the venue to
power the chain hoists. Apparently it was taken out in 2020 when the old hardware was
removed. One of my engineers, Cosmo Inserra is looking into options to get this power back in
but this may cause a bit of delay. Will need to do a change order on this item. Will update
everyone on this item when we have answers. Electrical must be in place before we being a
large portion of the project.
2. Chain Hoists 45 day back order – I have contacted more than 10 companies who are official
distributors of the CM Classic Loadstar Chain Motors and none have any in stock and all came
back with the same 45 day estimate. This one is quite HUGE since we need the chain hoists in
place before we can work on truss, lighting, projector screens, etc. We are trying to source an
equivalent, which we will run by the SimplyNew team for approval. We are also contacting
event staging companies to see if they have new stock available. My fingers are crossed on
this one as the event industry has been dormant for over a year. There has to be stock out
there somewhere.
3. Custom Desks – We ran into longer time tables for delivery than we could accept. SimplyNew
team is putting us in touch with a fabricator that may be able to help. We are also looking at
other alternate sources including R Yoder Construction which is based in South Bend.
4. CoVID – Last Tuesday one of my engineers, Cosmo contracted CoVID. He was working with my
lead engineer Sebastian leading up to Tuesday.. We expect both to have clean bill of health
and negative CoVID test before arrival on 3/31 but wanted you all to be aware of the
situation.. Your teams health and my teams health are a top priority.
There are a few other smaller items that are on extended back order but they aren’t anything that
would delay the project. Will work with SimplyNew team to approve these items.
Sorry for the long email but with our tight timetable, wanted everyone to have all the facts ASAP..
