DEAR CITY OF SOUTH BEND, INDIANA - BOARD OF PUBLIC WORKS
We want to thank you for the opportunity to bid your project for the Bendix Esports Arena in
South Bend, IN.
Unfortunately, we were unable to collectively gather the information requisite for a complete
and professional overall review. As requested, we compiled a composite list of questions for
the designated RFI date, however, upon follow-up were informed that we were supposed to
respond to an address other than the initial email address.
We would greatly appreciate the opportunity to introduce our services in response to this
project opportunity should this invitation time frame be extended, however, in order to
provide a complete and professional bid we require a much more comprehensive, detailed
assessment of the following:
- Information on specific materials, colors and finishes from which to construct the mill
work items;
- Information as to the desirable functionality of the systems;
- Formal specifications detailing logistics (e.g. information re: actual project site, timeline,
data regarding infrastructure, etc.)
- We did not receive RFI responses to our questions or that of any other bidders.
As we indicated, we are very sensitive to the many logistics necessary to coordinate a project
of this magnitude, and we certainly believe that our organization could be a valued partner in
this project. We simply feel it imperative to gather additional and or key information to
provide the City of South Bend, IN the quality performance that you deserve.
Thanks once again for this opportunity, and we would welcome to complete our project bid
should the invitation timeframe be extended, and project detail become available.

Remarks:
CTI requestsinputand clarificationsfor the project referenced above. This will assist us in providing a
fully responsive AVSystem bid proposal,in accordance withthe project plans,specifications,and design
intent. Should you have questions or need additional information, please do not hesitate to contact us.
1. What email address should RFI questions be submitted to? If other, please specify.
2. Based upon your team’s responses to some of our questions, there could very well be significant
alteration to proposed project solution. Given the critical need for this requisite information in
advance of final bid, and the extraordinarily modest window between RFI Response Date(?), and
Bid Due Date of 5.12.20, we would like to request a Bid Date Extension of 5.15.20.We want to
make certain that your project is provided the top of practice management that it deserves, and
we would not want this tight window for response to compromise that in any way.
3. Are microphones required for the Ursa Cameras?
If so, what is the desired make and model?
4. What methodology is recommenced to attach the fiber converters to the Ursa cameras when in
hand-held applications?
5. Are operator lens controls needed for the Ursa cameras?
If so, what is the desired model number?
6. Please describe which operator workstations will be used to control the PTZ cameras
7. BirdDog Mini NDI ENC/DEC 28 are allocated to POV Cam & POV Monitors. The Spec call for
quantity of 37 of these units.
What is the intended use for the other nine (9) units?
8.The Birddog Mini NDI Encoder requires a software license to operate.
Who will be providing the licensing?
9. Will a Yamaha stage box interface be needed toconnect the microphones to the Dante system?
If so, please provide model number for each stage box location.
10. Please provide desired quantities foreach of the “Various Lengths” of fiber reels and fiber
11. Drawing #104 shows four (4) PTZ cameras. The equipment list shows five (5).
How many PTZ cameras will be provided and installed?
12. Equipment list shows a Cuebi tally light kit for four (4) cameras.
Please define which cameras will be equipped with the tally light.
13. The Yellowbrik Sync/ test generator has an LTC output.
How will this to be connected within the system?
14. The ESE clocks are capable of an NTP interface though that is not mentioned in the equipment
list.
Will the NTP option be needed for this installation?
15. Section "Furnishings: Staging - Custom Builds"
Everything is listed as "Custom".
The gaming desks and other furniture seem to have been designed to be built by a
specific manufacturer. Please provide the preferred fabrication manufacturer or
vendor for these gaming desks.
Per the design drawings, the finish, texture and material types for the custom millwork are
not provided. Please supply this information so accurate pricing can be estimated.
