SPECIAL EVENTS COMMITTEE MEETING MINUTES
November 5, 2019, 10:00 AM

Members present: Jonathan Jones, Toy Villa, Gerard Ellis
1. Call to Order
The meeting was called to order at 10:25 AM by committee member Villa.
2. Approval of minutes
Upon a motion by Villa and seconded by Jones the minutes from the previous meeting,
October 15th was approved unanimously
3. Approval of Special Event Permits –
a. Saint Nick’s 3k/6k- December 7th
Using the same route as last year. No construction occurring along route. PD thinks
they will have enough “in kind” to cover the event providing they get help from some
volunteer officers. Both the 3k and 6k will begin on St. Louis near church at the same
time. They are to head north on St. Louis, cross over Lasalle, west on Madison all the
way to the East Bank trail. The 3k will proceed to turn around there and take Niles
back to Madison back to the start on St. Louis. 6k racers will proceed west on
Pokagon, south on Hillcrest, west on Parkovash, south on Iroquois, east on Tonti,
north on hillcrest, east on Pokagon, south on East Bank Trail, east on Madison and
south on St. Louis back to the finish. T/L will make sure gates are open on trail as well
as give Niles/Crescent area extra attention, so no cars drive on course. Set up time is
7:00 am and race begins at 10:00 am. Races should finish by 12:00 pm.
Upon a motion by Jones and seconded by Ellis the permit was approved unanimously

2. Adjournment
With no additional business, Jones motioned for adjournment and Villa seconded. The
meeting ended at 10:48 AM.
