Sniadecki, Director of Infrastructure SUBJECT: Active Directory/ADFS 2016 Upgrade Project DATE: 8/28/18 Linda, Sandra, Clara, Jennifer & Michael, Please see the attached quote regarding the Active Directory/ADFS 2016 Upgrade Project. The overall initiative is to keep our Server based operating systems current while minimizing risk by migrating the AD and ADFS infrastructure to the Windows 2016 Server platform. This project will covered 6 of our 22 virtual Windows 2008 R2 servers that need to be upgraded by EOY 2019. The current 2008 R2 server platform has already had mainstream support withdrawn but is still covered through extended support agreements. However, these are due to end completely in January 2020. As well as the security concerns of having our business - critical infrastructure hosted on unsupported hardware, it's important to consider the pace of change in technology. Windows Server 2016 is the most up to date server OS available from Microsoft, featuring significant and impressive upgrades. The Office of Innovation and Technology team reviewed the quote and give favorable recommendation. One-time project cost will be $9,000 with our vCloud, VolP & Help Desk provider Microlntegration (MI). We have budgeted this and more f12018. Micro lntegration (MI), who will be working with Infrastructure team, is where we currently maintain our AD and ADFS servers within their vCloud hosted at Data -Realty. Thank you, Michael E. Sniadecki Overview City of South Bend (CoSB) currently maintains their Active Directory (AD) services infrastructure within the Microlntegration (MI) Cloud hosted at Data -Realty. The AD services infrastructure consists of (6) virtual Servers currently running Windows Server- 2008 r2 including Domain Controller roles, AD Federated Services roles, and AD Federated Services Proxy Server roles. CoSB desires to keep their Server based operating systems responsibly current while minimizing risk by migrating the AD and ADFS infrastructure to the Windows 2016 Server platform. Microlntegration is pleased to submit this Statement of Work to support CoSB in achieving its goals for migrating AD and ADFS to Windows Server 2016. The new solution will consist of (6) new virtual servers with all current AD and ADFS roles transitioned to new virtual servers. Scope All tasks included in the scope of this project are listed below. Any additional tasks requested by the customer and not listed below will constitute the creation of a Project Change Request (PCR). The PCR will then be quoted to the customer for acceptance. Upon acceptance, those tasks will be added to the project. The following items are within scope of this project: • Build (6) Windows Server 2016 servers and apply Microsoft Updates • Install / configure Active Directory roles (DC, DNS, & FSMO roles) • Install / configure ADFS services components (config database, SSL certificates, etc) • Migrate / Configure new ADFS integration with Office 365 • Migrate all DNS & DCP configurations to new DC's • Provide testing / production validation of new Servers • Configure / Modify any existing Active Directory, LDAP, or network integration points for new servers + Decommission existing CoSB Domain Controllers (including AD cleanup) • Perform AD Functional upgrades for Forest & Domain Technical/Project Approach MI will configure and deploy all new virtual servers in parallel with the existing CoSB AD servers. A maintenance window may be required to cutover to the new solution. Microlntegration utilizes Autotask software for project management. CoSB will have the capability to view the project and its status using Autotask. Weekly project management meetings will be held to track project progress. The frequency of these meetings can be adjusted per the customer's request. Resources Technical support and collaboration will be coordinated with the CoSB staff throughout the project. The following resources will be required: • (6) Microsoft Windows Server Standard licenses • (Temporary MI Cloud hosting resources for server builds during the transition) a 12 vCPU 0 24 GB RAM 0 600 GB Performance Storage o (Existing AD infrastructure servers Cloud resources will be added back to the available pool of resources after server decommissioning / cleanup takes place) Project Deliverables The following is a complete list of all project deliverables: Deliverable Description New Active Directory services (2) Domain Controllers, (2) ADFS Servers, & (2) ADFS Proxy Servers will be Iinfrastructure servers configured & placed into production Timeline for Execution The Project Manager and CoSB staff will coordinate a timeline for the overall project. Client Responsibilities The following items are the responsibility of the customer. • Coordinate maintenance windows with MI as needed to support the project objectives • Coordinate communication with end users Change Management Procedures In the event it is necessary to change this SOW, the following terms will apply. A change request document ("Change Request") will be executed by the parties, describing the nature of the (material) change, the reason for such change, and the effect such change will have on the scope of work, which may include changes to the deliverables, project personnel, or Services. Either party for any material changes to the SOW may initiate a Change Request. The requesting party will review the proposed change with the other party, and the appropriate authorized representatives of the parties will sign the Change Request, indicating the acceptance of the changes by the parties. Upon execution of the Change Request, said Change Request will be incorporated into and made part of the SOW. Whenever there is a conflict between the terms and conditions set forth in a Change Request and those set forth in the SOW or previous Change Request, the terms and conditions of the most recent Change Request shall prevail. Assumptions The following assumptions have been taken into consideration during the development of this statement of work: • The Client project manager will facilitate scheduling meetings and will ensure that the internal feedback loop remains intact. • The Client will reimburse MI for reasonable travel -related expenses. Client will approve all MI travel prior to the expense being incurred. MI will ensure that travel costs are minimized and are in accordance with the Clients travel policies. • MI understands that all information regarding Client obtained through this engagement is proprietary and shall be treated as confidential. MI further agrees that such information, gained from any source, shall be so held and not revealed. Revealing any such information by MI to any person, firm, or corporation shall be deemed a breach of this contract. • Unless otherwise agreed upon by the Client's Project Manager and MI's Project Manager, and/or as established in the project schedule from time to time, Services will be delivered continuously from the Project Start Date, on Monday through Friday (except holidays), from Sam through 5pm Eastern Standard Time, for the duration of each Service identified in this SOW. • Unless otherwise agreed upon in writing, (i) in the event that Client requests an interruption or delay in delivery of Services of more than five (5) working days, then MI may assign alternate personnel to complete the tasks indicated in this SOW based on availability of such personnel and (ii) in the event that Client requests an interruption or delay in provision of Services of over ten (10) working days, MI shall place the project on hold and an addendum shall be executed referring to adjusted end dates, milestones and staff. • Client's Project Manager will have the authority to make project decisions and represent Client in all matters related to this SOW. Client's Project Manager will provide a single consolidated response to any review, approval, change, or decision request. • Client staff will actively participate on this engagement, and individuals with relevant domain, business, and/or technical expertise will be available as required. These participants will be the acknowledged spokespersons for the areas they represent, and the MI project team will require regular and timely access to them. If these participants are unable to attend a scheduled meeting, the Client's Project Manager will become the final authority on all items of discussion. • Client will provide access to facilities and computer systems as required for MI's project team to perform tasks as outlined in this SOW. • Client shall ensure that all environment and operational requirements are met prior to deployment, including a full data backups. • Client shall make appropriate system maintenance window(s) available for Ml as needed to prepare equipment. • Client will be responsible for, and assumes the risk of any problems resulting from the content, completeness, accuracy and consistency of any data, materials and information supplied by client. • The Client will provide basic configuration information for network and authentication requirements. • The Client will provide installed and tested power, network, and telephone connections. • It is assumed that Microsoft may need to provide support as needed for the new Server configuration / transition / integration with Office 365.
