Over the last several months as the project has transitioned from using Populous/HOK Sport to using Wightman Petrie to provide project management services, we have expended all current contracts and need to create a new contract for services with Wightman Petrie to cover planning, design, and management to continue the positive motion on the project. Wightman Petrie has been very involved with construction oversight of the first phase of improvements, has been involved in concept design for project elements proposed to be developed in later phases of the project, as well as incidental design and consultation related to various other elements of the project. As we begin to close-out the first phase of the project which will include the completion of the concourse restroom renovation project and the installation of the new lighting system, as well as preparation of the proposal documents for the next phases of the project, staff requests the approval of this contract to coordinate this work. The proposal is in anot-to-exceed amount of $50,000.00 and staff requests approval of this proposal. What We Do Today Makes A Difference! August 3, 2010 City of South Bend Department of Community & Economic Development 227 West Jefferson Blvd. South Bend, IN 46601 Attention: Mr. Bill Schalliol RE: PROPOSAL FOR PRELIMINARY PLANNING AND PROJECT MANAGEMENT SERVICES FOR COVELESKI STADIUM, SOUTH BEND, INDIANA Dear Mr. Schalliol: Thank you for contacting Wightman Petrie (WP) regarding the renovation work to be pertormed at Coveleski Stadium in South Bend, Indiana. Wightman Petrie has been fortunate to be involved in the preliminary planning process of the proposed stadium renovations, and feel we are in a unique position to assist the City. Keeping that in mind, we are pleased to provide you with the following proposal for your consideration. Project Understanding WP understands the City of South Bend would like to undertake extensive renovations to Coveleski Stadium and the surrounding City owned property. These renovations would include plazas, concourses, seating areas, group areas batting cage facilities, a commissary, as well as other maintenance and upgrade items to the existing stadium facility. It is the desire for as much of the proposed project to be constructed in the off-season so the new facility would be usable during the 2011 season. At this point, a coordination effort needs to take place to ensure that the desires of the City and the team are translated into a buildable project. This would include existing drawings, field measurements and verification, structure evaluation, and any other information relating to the project from outside sources. Also included in this task will be pre-planning of the project with information gathered relative to final use and operation of the facility. Conceptual designs of the project will be generated to aid in the design process at later stages of the project. Task 2 -Protect Management This task will include all necessary project management for the project. Numerous meetings are needed will all of the partners in the project to determine approach, required elements, budgets, estimates, and planning feedback. Direction and focus will be provided to help ensure that all programming needs are met. With this information, we will guide the project from the pre- planning stage to the design stage. Project Fees The total lump sum fee to provide the tasks outlined in the Scope of Services is as follows: Task 1 -Pre-Planning Services $25,500.00 Task 2 -Project Management Services $24,500.00 Total Professional Services Lump Sum Fee: $50,000.00 Should you have any questions, please do not hesitate to contact me at 574-232-4388.
