6B(1) Proposal for architectural services (Century Center Island Park)

Gibney Executive Director City of South Bend Community and Economic Development 227 West Jefferson Boulevard, Suite 12005 South Bend, IN 46601-1830 RE: CENTURY CENTER ISLAND PARK PAVILION FEE PROPOSAL FOR ARCHITECTURAL SERVICES Dear Jeff: This letter is to formalize the terms of which Architecture Design Group, Inc. (ADG) will provide design and consulting services to the City of South Bend (Owner) for the new Century Center Island Park Pavilion. PROJECT UNDERSTANDING The Project Site is the Century Center, located at 120 South Saint Joseph Street, South Bend. The City of South Bend wishes to have a permanent outdoor pavilion structure designed and constructed on the north end of Island Park that will provide the Century Center with sheltered event space along the Saint Joseph River. In addition, the new structure must complement the Century Center's existing architecture, while providing new visual form and function that will further enhance one of the community's major urban amenities. The Project Budget shall be determined as part of ADG's scope of service. ADG SCOPE OF SERVICES 1. ADG shall be responsible for the following services: DESIGN DEVELOPMENT PHASE a. Meet with designated representatives; Review the specific objectives, schedule and budget limitations to ascertain the requirements of the Project, including the review of alternate approaches to design and construction. b. Field Verify the Existing Physical Conditions and Dimensions of the site; Work shall include the field verification, and photo documentation of the Island Park's physical conditions, layout, and utilities; Recommendations shall be made to the Owner to engage the services of a geotechnical engineer to test and report all sub-grade conditions for the purposes of determining the most suitable structural foundation system and storm water drainage. 922 E. Prepare Preliminary Design Documents and Cost Estimates; Work shall include the preparation of Preliminary Drawings/Specifications and an Estimate of the projected cost of construction for alternate approaches to design and construction. Upon review and approval by the Owner, one design approach will be approved; The approved cost estimate will determine the Construction Budget for the Project. Continuation of ADG Services beyond the Design Development Phase shall be contingent on the Bnal approval of the Construction Budget by the Owner. CONSTRUCTION DOCUMENT PHASE a. Prepare Drawing and Specification Documents; Based on approved Preliminary Drawings/ Specifications and Construction Budget, Work shall include the preparation of all Drawings and Specifications for the purposes of bidding and construction. b. Prepare Application(s) and Submittal Documents in connection with the Owner's responsibility for filing documents required for the approval of government authorities having jurisdiction over the Project. BIDDING PHASE a. Provide Bidding Assistance; Assist the Owner with obtaining bids and in awarding and preparing the contract for construction. CONSTRUCTION PHASE a. Provide Construction Administration; Work shall include shop-drawing review, periodic on-site observation, attendance at scheduled progress meetings, and punch list/Project close-out. BASIS OF COMPENSATION The Owner shall compensate ADG as follows for Services, as described in ADG Scope of Services: Not-to-exceed sum equal to sixty thousand dollars ($60,000). Progress payments for Services in each phase shall total the following percentages for the total compensation payable: Design Development Phase: 35% Construction Documents Phase: 40% Bidding Phase: OS% Construction Phase: 20% Total Compensation: 100% Services not specifically identified in the ADG SCOPE OF SERVICES, shall be considered Additional Services and shall only be performed with authorization from the Owner. The fee for these services shall be computed on an hourly rate as follows: Principal Architect $135/Hour Principal Engineer $135/Hour Project Architect $115/Hour Century Center Island Park Pavilion Proposal Page 3 Engineer $115/Hour CADD Technician $ 90/Hour Clerical $ 45/Hour REIMBURSABLE EXPENSES 1. Shall include expenses incurred by ADG and our consultants in the interest of the Project including printed copies, plotted reproductions, postage and express courier. All ADG Service Provider expenses shall be invoiced at the rate of 1.10 multiplied times the direct expense incurred, otherwise the direct ADG expense will be invoiced. 2. Special consultant(s) providing services to investigate existing conditions beyond a visual inspection, such as core testing, selective demolition, etc. We trust that these general terms meet your approval. If this proposal is acceptable to you, please sign and date the two' copies and return one copy to our office. Once we have your approval, we will execute an American Institute of Architects Standard Form of Agreement Between Owner and Architect, AIA Doc. B 151.
