The City of South Bend Safe Routes to School: Kennedy School Des No. 2201237 7 <br />Project Approach <br /> QA/QC Protocols <br />1. QA/QC is not an option. PMs specifically allot time into each project sched- <br />ule and budget for the QA/QC process. <br />2. Red Pen Review: Complete dual quantity take-off calculations are reviewed <br />by two separate individuals during our red pen review ensuring: Accuracy, <br />Consistency, Compliance, and Constructability <br />3. Targeted Review: Each facet of project design has a designated reviewer at <br />each stage of the design submittal. Nitin Timble, PE, PS and Wesley Down- <br />ing will review all plans in the targeted review stage. <br />4. Change Order Avoidance: Plans, specifications, and cost-estimates are com- <br />pared to ensure each pay item coincides with the method of measurement <br />and basis of payment to avoid construction problems and change orders. <br />Strategic Scheduling System <br />Infrastructure projects have a lot of moving parts and require multiple <br />key staff working in unison. Often, the ability of one person to complete their task <br />relies on another having their portion completed. Additionally, we want to ensure <br />that our staff are not over committed and can give their full attention to the project <br />at hand. <br />Ajera Deltek/Gantt: A&Z uses Ajera DelTek software to manage and track project <br />progress and employee time. This gives us a single place to communicate our <br />available capacity and workload. <br />Weekly Meetings: A&Z has weekly staff meetings where each employee shares <br />his/her workload for the week. This is also an opportunity for our employees to <br />assist each other. <br /> <br />Cost Containment Practices <br /> <br />1. Eliminate Excess: In our day-to-day office operations we use sus- <br />tainable measures to eliminate waste (see our sustainability plan) <br />that helps preserve the planet and our bottom line. On the job, we <br />use these same kind of sustainability measures. We also treat our <br />staff’s time as a resource and aim to maximize efficiency by being <br />organized so that time is not wasted. <br />2. Constant Contact: A&Z facilitates two-way communication between <br />all project stakeholders, subconsultants, and contractors to ensure <br />that everyone is in the loop. <br />3. Thorough Documentation: A&Z has templates and checklists to <br />make sure that everything from meeting minutes to emails are de- <br />tailed and thorough. By keeping track of our communication and re- <br />quests, we make sure nothing falls through the cracks. <br />4. Strategic Scheduling: Time is money, so A&Z makes sure that we <br />use our time efficiently. When working as part of a larger team, it is <br />crucial to have individuals meet deadlines because the next phase of <br />the project depends on it. See our scheduling protocol below. <br />5. Do It Right The First Time: A&Z has found that practicing steps 1-4 <br />enable us to complete the various phases of projects with precision– <br />eliminating the need to clean up mistakes. More information about <br />this can be seen in our QA/QC protocols. <br />All projects should be completed on time, on budget, and on-par with client expectations. <br />There are a few strategies that we employ across the board, for every single project to ensure that we provide communities wi th the quality service they deserve. <br />95 % client <br />retention <br />Constructability Review <br />Once our designers have ensured that their plans meet specifications <br />and standards, they are submitted to Mark and his construction team. <br />During this phase of the review, we are looking for conflicts that will happen dur- <br />ing constructions phase. From here staff then develop solutions and alternatives <br />so that, once the project is underway, there are no setbacks or surprises.
