City of South Bend Coal Line Trail Phase II October 26, 2021 Page 11 PROJECT APPROACH PRE-CONSTRUCTION CONFERENCE • Review of contract documents • Gather names of key contact persons • Coordinate with contractor to develop a schedule for contractor’s submittals • Conduct field visits prior to construction • Video project site prior to construction • Coordinate kick-off meeting with Burke project team and the city of South Bend staff PROJECT INITIATION • Organize and set agenda for conference • Notify representatives of the city, contractor, utilities and INDOT • Develop and distribute meeting minutes and sign-in sheet • Phone non-attendees and verify pertinent information FIELD OFFICE FILING SYSTEM • Develop and maintain a filing system as outlined in the INDOT GIFE • Integrate electronic management, as required SHOP DRAWING / SUBMITTAL REVIEW • Inform contractor as soon as possible of observed deficiency in contractor’s work • Conduct regular project progress meetings. Keep and distribute project progress meeting minutes. • Complete a daily report and diary form for each day’s work in the format desired by the City and INDOT’s SiteManager • Maintain a daily progressive record of the quantities and locations of materials placed in INDOT’s SiteManager • Submit weekly or monthly progress reports to the project manager, as required • Review the contractor’s schedule on a weekly basis and compare actual progress to the approved schedule with consideration of weather and field conditions • Review and approve certified payrolls per INDOT standards FULL-TIME CONSTRUCTION INSPECTION • Coordinate shop drawings and submittal reviews with the design engineer and the City SURVEY / LAYOUT QUALITY ASSURANCE • Provide periodic checks of the contractor’s general layout for quality assurance
