INTER-OFFICE MEMORANDUM <br /> DEPARTMENT OF PUBLIC WORKS <br /> DIVISION OF ENGINEERING <br />TO: Anne Fuchs, Clerk <br />Board of Public Works <br />FROM: Zach Hurst, Project Engineer <br />SUBJECT: Cost Update - Project No. 118-116 <br />Douglas Road Lift Station <br />DATE: February 16, 2021 <br />On September 22, 2020, the City of South Bend, acting through its Board of Public Works, entered <br />into an agreement with the St. Joseph County Board of Commissioners for the City to fund its <br />portion of utility relocations related to the Douglas Road widening project being undertaken by St. <br />Joseph County. St. Joseph County is contracting with INDOT to construct the project using 80% <br />federal funding. <br />The road widening project necessitates moving the City’s existing lift station on Douglas Road, <br />near Juday Creek. A copy of that agreement is attached to this memo for reference. <br />The original agreement amount was $569,820 based on the final construction cost estimate. Upon <br />opening of bids and awarding of a contract (awarded to Rieth Riley, administered by INDOT), the <br />actual price of the City’s portion of the work ended up at $300,517.13. The agreement notes the <br />original number is simply an estimate, and that payment – based on actual bid prices – is due <br />within 45 days of INDOT approving the construction contract for the project. <br />This memo serves to advise the Board of the actual price to be paid by the City and note for the <br />public record the reason for the discrepancy between the original agreement amount, and the <br />amount to ultimately be paid to St. Joseph County. <br />Please call with your questions (3057)
