HISTORIC PRESERVATION.0 OW ISSION <br />STAFF REPORT <br />SUBJECT: Architectural Drawings owned by H.P.C. <br />The Historic Preservation Commission has 10 sets of <br />architectural drawings in their office that date from the <br />early 1900's (see attached list). Recently the office has <br />received a request to make duplicates of all the drawings. <br />The staff beleives that a formal policy should be <br />established for the use and/or future of these drawings. <br />First the Commission should seriously consider donating <br />these drawings to an archival institution that can properly <br />care for these important historical drawings. The drawings <br />are currently stored in a cardboard box in a manner that is <br />harmful to their future well being, some of the drawings are <br />beginning to deteriorate and are very fragile. The staff <br />does not have the expertise to care for these documents in <br />the manner in which they should be, nor is there adequate <br />space for storage or research use. Donation poli bilities <br />include the Indiana State Library, Architectural Drawing <br />Collection; Ball State University, College of Architectural <br />and Planning Archive; and the University of Notre Dame's <br />Archive. Placing the documents in one of these <br />repositories, after photo doucumentation by the staff, will <br />insure that the drawings can be properly stored and <br />conserved for future research use. <br />It should be noted that there has been no call or reason to <br />use these documents in the last five years. <br />If the Commission decides to keep the documents, a policy <br />for use should be adopted. Attached is a suggested Policy <br />and Research Request Application. However, the staff does <br />not believe it would be advisable to duplicate the drawings <br />for general purposes due to their present condition. <br />01/03/86, EAS <br />• <br />
