the area to minimize travel costs. Key utility staff with documentation or knowledge of existing <br />information will be included, as identified by the City. <br />3. Information Gathering. Arcadis will submit a request for information to the City. Through <br />work with other clients on RRA and ERP projects, Arcadis has developed an extensive list of <br />information and documents that may be available which can help meet AWIA requirements. <br />These include the City's existing vulnerability assessments, ERP and asset management <br />program documentation, and a variety of system information including maps, IT architecture <br />diagrams, monitoring practices, financial infrastructure, capital needs, storage and handling of <br />chemicals, cybersecurity policies, and operation and maintenance of the system. <br />4. Data Review. Arcadis subject -matter experts will review the information collected and identify <br />content that meets AWIA requirements. We will reach out to City staff as needed to clarify and <br />verify information and will request additional materials from the City when necessary. It is <br />assumed that up to four conference calls will be required with specific utility staff to ensure the <br />review is accurate and complete. <br />5. Gap Analysis Summary. To concisely summarize and convey the findings, Arcadis will <br />populate our Gap Analysis Matrix which identifies areas where sufficient data exists to meet the <br />AWIA requirements, and which areas require additional information or work. A brief summary <br />document describing the process and findings will accompany this Matrix. <br />6. Gap Analysis Review Meeting. Upon completion of the gap analysis, Arcadis will facilitate a <br />meeting to review the results. Arcadis's local staff will be in person, with national experts <br />joining via Skype. It is Arcadis's goal that by the end of this meeting, City staff will understand <br />the analysis methodology used, why each gap was identified as such, and at a high level how <br />each could be filled to set the City up for the RRA and ERP updates and development. <br />This scope does not include support for filling the identified gaps. A subsequent scope and budget <br />can be developed if desired for Arcadis to work with the City to perform required analyses and <br />develop necessary documentation of the RRA and ERP for ultimate compliance. <br />Schedule <br />Arcadis is prepared to begin work immediately upon written authorization to proceed. Timing will <br />be impacted by the City's delivery of requested information, the amount of information to be <br />reviewed, and timely scheduling of meetings.
