Co, ~ ~~ ~ <br />To: Redevelopment Commission <br />From: Staff- Debrah Jennings, Property Manager <br />Subject: 2011 Snow Removal <br />Date: February 22, 2011 <br />Redevelopment Commission has not had a contractor in the past to remove snow, but a new City <br />Ordinance required that all city sidewalks must be cleared within 24 hours after a snowfall. <br />The city experienced a major snow fall January 8, 2011. In view of the large amount of snowfall, the <br />City received this year and the number of properties Redevelopment Commission now owns; in an <br />effort to comply with the new City Ordinance, it was necessary to hire contractors on an emergency <br />basis to remove the snow. Therefore, a snow removal contract was executed January 11, 2011 <br />Staff sent notices along with a list of Redevelopment Commission owned properties to three <br />contractors from the City's database of approved vendors asking for bids on the removal of snow <br />from the listed properties. Two Vendors responded to the request. Therefore, a snow removal <br />contract was executed January 11, 2011 <br />This was outside of our normal procurement process, but because of the emergency nature, staff <br />selected Tri-M Construction and First Impressions Landscaping, both of South Bend, Indiana to <br />immediately remove snow from Redevelopment Commission owned properties. <br />The contract is for a maximum of $ l 0,000.00 per contractor for a total of $20,000.00 with the option <br />to increase this amount, if there is additional need for the 2011 snow season. <br />Staff will begin the bidding process in August 2011 for the 2012 snow removal season within the <br />normal bidding procedures. <br />Given the unforeseen events, staff is requesting approval. <br />H:.NTDATA correct memo.doc <br />
