INTER -OFFICE MEMORANDUM <br />Information Technologies Department <br />227 W Jefferson Blvd (574) 245-6000 <br />TO: Board of Public Works, Linda Martin <br />CC: Dan O'Connor, Michael Schmidt, George King, John Murphy <br />FROM: Shawn Delahanty <br />SUBJECT: Microsoft Annual Renewal <br />DATE: 8/10/16 <br />Linda and Members of the Board - <br />We are submitting for review and approval the annual Microsoft Licensing <br />subscription renewal for Microsoft email, Microsoft Productivity Suite, Microsoft <br />CRM, Microsoft Visio, and Microsoft Azure. This is the renewal to begin the <br />second year of a 3 year agreement (Office 365 portion only) signed by the Board <br />of Public Works on 8/25/15. <br />The number of Office 365 licenses has remained the same, however 160 <br />licenses will be transitioned from El/Archive licensing to E3 licensing. This will <br />allow for expanded functionality for Uniform Police officers to access files and <br />applications from their vehicles (including reporting from the Kronos system). <br />Business need was identified by both SBPD and the IT team. <br />The cost for the difference for the upgraded Police Officers is $17,579.20, but <br />can be paid with IT funds from a line item for Microsoft Licensing that was <br />budgeted for 2016 and is no longer needed due to the migration to the cloud <br />environment ($40,500 budgeted). Budget for 2017 includes the new total. <br />Also included is license renewal for MS Visio ($1317.36), Dynamic CRM <br />($10,281.60), CRM Sandbox Instances ($2935.44), and Our Azure Cloud <br />Hosting ($1273.68). <br />Thank you. <br />Shawn Delahanty <br />
